The Operations Associate position is a significant role within our company that supports the Wealth Managers and Relationship Managers on the team.
You will perform client service and operational functions.
This individual requires a polished professional with superior communication, customer service and organization skills.
The Operations Associate reports directly to the Operations Manager and will serve not only as a key member of our team but will be an initial point of contact for the clients of AEGIS Financial.

Principal Accountabilities:
Answer incoming calls from clients, vendors, and prospects during normal business hours Be responsible for client service & operational functions necessary to meet client service requirements.
May need to backup the Client Experience Concierge in greeting incoming clients, visitors, and business associates in a helpful, professional and pleasant manner Act as a liaison between the team and the custodian to get client issues resolved Manages calendar and schedules meetings for clients, prospects and outside vendors Prepares and coordinates documents in preparation for client meetings Open, transfer and close customer accounts and maintain appropriate account records Process all required paperwork to create, maintain and service client's accounts Provides high level fundamental client support in all phases of operational service and account maintenance including telephone coverage, document accuracy, deposits, reports, and actionable items.
Attend client/prospect events and seminars Responsible for coordinating daily client/prospect correspondence Performs daily deposit of checks received into the branch via mail, overnight delivery, or provided directly by the client, ensuring precision and client satisfaction Interacts with Raymond James home office staff to develop cooperative relations and guarantee timely follow through on requests Documents all relevant action items and tasks being tracked in CRM Maintain Client Relationship Management (CRM) for team, as well as leverage the platform to manage the client relationship through mailings, reporting, email tracking, and more, with the goal of implementing well-defined client service models Performs miscellaneous clerical functions including mailings, and various projects for teams or individuals within the firm Copy, fax and file various materials as needed Executes project-related tasks to contribute to the firm's development Cultivates ideas to develop or help improve office systems and protocol Responsible for traveling to and from post office for company mail; sort, process and route incoming and outgoing mail Knowledge/Experience/Skills:
Administrative experience desired 1-2 years of Prior Financial Planning Experience is helpful High School diploma required; college degree strongly preferred Outlook email and calendar Proficient in Microsoft Excel, Word, Adobe PDF CRM Database experience and task management is helpful Ability to improvise and proactively assist in client requests or firm tasks High communication skills (written and oral) Excellent organizational skills - consistent ability to prioritize workflow of self Detailed Oriented Ability to work independently - self-motivated; self-starter Critical thinking and proactive problem solving skills Good analytical skills with the ability to perform semi-advanced math Attributes and Behaviors:
